Position Summary

The President serves as the chief elected officer of the Association, providing strategic leadership, organizational oversight, and direction for the Board, committees, and membership. The President ensures that the Association fulfills its mission while promoting effective governance, collaboration, and long-term sustainability.

Primary Responsibilities

Leadership & Governance

  • Provide overall leadership and supervision of the Association’s business and operations.
  • Chair meetings of the Members, Board of Trustees, and Executive Committee.
  • Ensure Board decisions and strategic priorities are implemented.

Strategic Planning

  • Provide vision and leadership for the Association’s long-term growth and success.
  • Work collaboratively with the Board to establish strategic priorities and annual objectives.

Representation

  • Serve as the Association’s primary spokesperson and official representative.
  • Act as liaison between the Academy Principal, the Academy Board of Trustees, and the Alumni Association.

Committee Leadership

  • Appoint the Executive Advisor, subject to Board approval.
  • Support committees and encourage effective leadership development.

Position Summary

The Executive Vice President serves as the principal assistant to the President and assumes the President’s duties when necessary. The Executive Vice President provides operational leadership and helps coordinate the work of officers, committees, and major Association initiatives. Their major responsibility is to organize and plan the annual alumni weekend.

Primary Responsibilities

Executive Leadership

  • Plans and organizes the annual Alumni Weekend.
  • Perform the duties of the President in the President’s absence.
  • Support the President in carrying out Board initiatives.

Operational Coordination

  • Coordinate activities among officers and committees.
  • Assist with planning Board meetings and the annual meeting.

Leadership Development

  • Mentor committee leaders and assist with succession planning.
  • Promote organizational effectiveness across all departments.

The Recording Secretary is responsible for maintaining the official records of the Association and ensuring accurate documentation of Board and membership actions.

Primary Responsibilities

  • Record and maintain official meeting minutes.
  • Maintain attendance records.
  • Preserve official Association records.
  • Assist with maintaining the Association database.
  • Distribute approved meeting minutes.

Position Summary

The Correspondence Secretary manages the Association’s official correspondence and ensures timely communication with members, partners, and external organizations.

Primary Responsibilities

  • Prepare and distribute official correspondence.
  • Respond to inquiries on behalf of the Association.
  • Maintain official communication records.
  • Perform the duties of the Recording Secretary when necessary.

The Membership Secretary manages the Association’s membership records while promoting membership growth, engagement, and retention.

Primary Responsibilities

  • Maintain the Membership Register.
  • Maintain membership databases.
  • Process membership updates.
  • Recruit new members.
  • Support membership communications and engagement initiatives.

The Treasurer provides financial leadership for the Association by overseeing financial management, reporting, compliance, budgeting, and stewardship of the Association’s financial resources.

Primary Responsibilities

Financial Management

  • Receive and disburse Association funds.
  • Maintain complete financial records.

Financial Reporting

  • Prepare financial statements.
  • Present audited financial reports to the Members and Board.

Compliance

  • Ensure timely IRS and governmental filings.
  • Maintain the Association’s tax-exempt compliance.
  • Report financial status to the Membership annually.

Position Summary

The Assistant Treasurer supports the Treasurer in managing the Association’s financial affairs and provides continuity by assuming the Treasurer’s responsibilities when necessary.

Primary Responsibilities

  • Assist with financial recordkeeping.
  • Assist with budgeting and reporting.
  • Support audits and financial reviews.
  • Assume Treasurer responsibilities when required.

Position Summary

The Public Relations Director promotes the mission, programs, and accomplishments of the Association by developing effective communications and strengthening relationships with alumni, donors, partners, and the public.

Primary Responsibilities

  • Develop communication strategies.
  • Promote Association programs and events.
  • Coordinate newsletters, publications, and media.
  • Strengthen the Association’s public image.
  • Support membership recruitment through marketing and communications.

Position Summary

The Parliamentarian ensures that the Association conducts its meetings and governance activities in accordance with its governing documents and accepted parliamentary procedure. The Parliamentarian also provides governance guidance to the Board and chairs the Nominations & Elections Committee.

Primary Responsibilities

Governance

  • Advise the Board on parliamentary procedure.
  • Interpret the Articles of Incorporation and Bylaws.
  • Maintain order and decorum during meetings.

Committee Leadership

  • Chair the Nominations & Elections Committee.
  • Chair the Articles of Incorporation and Bylaws Committee when established.
  • Election Administration
  • Certify voting results.
  • Assist in maintaining fair election procedures.
